School Office Assistant - 244 DaysSalary: School Office Assistant Salary Scale ~ NOTE: The salary will be prorated for the remainder of the 2019-20 school year.Salary Note: Only experience verified from a regionally accredited school system will apply toward years of experience. It is the employee's complete and total responsibility to obtain verification of prior experience in the timeframe required by the Human Resource Services Department.School Office AssistantThe School Office Assistant shall be directly responsible to the assigned supervisor. The Office Assistant is under occasional supervision, performs secretarial and clerical duties of moderate variety and complexity to maintain effective and efficient office operations. The Office Assistant must be able to perform routine physical activities such as light lifting, bending, and sitting for prolonged periods of time. Vision and hearing are essential functions in performing required tasks.The Office Assistant shall:1.) Compose and/or type memos, letters, and reports for the signature of the supervisor.2.) Take and transcribe dictation and/or meeting minutes.3.) Perform receptionist duties by answering the telephone, screening callers, and greeting and announcing or routing visitors.4.) Perform general clerical and secretarial functions, including but not limited to typing, copying, and filing documents, processing various forms and applications, collating materials, scheduling appointments and maintaining the supervisor's calendar, maintaining records and files, processing mail, ordering supplies, etc.5.) Research, gather, and organize pertinent data as needed from files and documents in the office or other sources for supervisor's use.6.) Perform any bookkeeping tasks associated with the specific position, including receiving, depositing, and posting to accounts any funds receipted, and processing purchase orders and accounts payable.7.) Receive and respond to inquiries and concerns from the public; refer problems to the appropriate staff person for resolution.8.) Attend and/or make arrangements for meetings or special events as requested.9.) Assist supervisor and other staff persons with special projects as assigned.10.) Use a computer to record and retrieve information and to prepare reports, documents and correspondence; updates and maintains database.11.) Receive, review, prepare and/or submit various records and reports including invoices, requisitions, change orders, travel forms, budget documents, expenditure request forms, payroll records, financial reports, meeting agendas and minutes, special and routine reports, inventory reports, memos, correspondence, etc.12.) Operate a variety of equipment such as a computer, printer, typewriter, copier, fax machine, recording equipment, binding machine, folding machine, paper shredder, audio-visual equipment, calculator, telephone, etc; make arrangements for office equipment maintenance and repair as needed.13.) Interact and communicate with various groups and individuals such as the immediate supervisor, Superintendent, other District administrators and staff, school administrators and staff, co-workers, student aids, students, parents, outside government/business/community agencies, sales representatives, service/repair persons, and the general public.14.) Perform other duties as assigned by supervisor.Qualifications:1. High School Diploma required.2. One to two years of general clerical experience, or an equivalent combination of education, trainingand experience that provides the required knowledge, skills and abilities required.3. Must be able to type rapidly and accurately.4. Ability to work well with students, parents, staff, and the community.5. High integrity, excellent character, and good professional reputation.
